We, Vaccine Panda Private Limited (referred to as “we,” “us,” “Vaccine Panda”) including our websites www.vaccinepanda.com, www.vaccinepanda.in, and www.thevaccinepanda.com (collectively referred to as “Platform”), aim to provide healthcare-related services to users or customers through our Platform. Our Platform is dedicated to offering vaccination-related services, including but not limited to customer relationship management, appointment scheduling, and a mobile app experience. All such services, whether used or performed on the app or through websites visited, accessed, or used by the users or customers, are collectively referred to as “Services.”
1.Introduction and Scope of Services
Vaccine Panda is an aggregator platform that coordinates among patients, paediatricians, registered pharmacists (vaccine distributors), and trained medical staff, including Doctors(MBBS & Paediatrician-DCH/MD), GNM nurses(Male/ Female) and paramedics on its payroll, to provide at-home vaccination services. Vaccine Panda acts solely as a facilitator to connect these parties and is not liable for the actual administration of vaccines or outcomes related to the vaccination process.
The platform oversees logistics, including cold chain maintenance from the Panda Partner Clinic to the patient's residence, secure packaging, and call centre support. Paediatricians listed on the platform are responsible for procuring vaccines under their valid medical licence, ensuring proper storage and handling, and providing pre-vaccination consultations and post-vaccination check-ups as needed. However, Vaccine Panda does not assume responsibility for the vaccine's efficacy or any side effects that may occur post-administration.
2.SCOPE AND APPLICABILITY OF TERMS
Please read these Terms and Conditions and our Privacy Policy at www.thevaccinepanda.com before accessing our Platform for availing of the Services available via our App, "Vaccine Panda," or Websites: www.vaccinepanda.com, www.vaccinepanda.in, and www.thevaccinepanda.com. In connection with your visit to the Websites and your use of the Services, these Terms and the Privacy Policy together constitute a legal agreement (“Agreement”). The download or access of the App or Websites to avail of the Services constitutes your irrevocable acceptance of all the provisions of this Agreement, as well as any other guidelines, privacy policies, rules, or additional terms. Do not access or use the Website, App, or Services if you do not agree to be bound by these Terms.
The Agreement applies to you if you are:
An authorised representative, attendant, relative, friend, or affiliate of a customer, patient, or other third party (hereinafter “you” or “User” or “Customer”); or
The User/Customer of the Websites or App, or the person who utilises the services provided by Vaccine Panda (“you” or “User”).
All services offered by Vaccine Panda on the Websites or App are subject to this Agreement. At its sole discretion, Vaccine Panda may alter, modify, or terminate the Terms, Services, or any portion of the Agreement at any time. The Terms and Conditions set forth in this Agreement govern how the Websites and App may be used and other Services offered. This Agreement supersedes all previous oral and written terms, conditions, or understandings (if any) communicated to you. You agree to this Agreement and all its terms and conditions by availing of any Service listed on our Platform. You are required to regularly read and keep up-to-date with the Agreement. In the event that this Agreement is altered, modified, or terminated, your use of the App or Websites or otherwise shall indicate your acceptance of such changes, modifications, or terminations, as well as your agreement to follow and be bound by such changes, modifications, or terminations. This Agreement shall also include any additional Terms and Conditions, disclaimers, and Privacy Policies applicable in general or to specific sections/segments of these Websites or to any particular Services.
You agree to be bound by this Agreement when using any of our Services. We request that you refrain from using the Websites or availing of any of our Services if you disagree with/to any part of this Agreement. Your access to and use of the Websites and the Services shall be at the sole discretion of Vaccine Panda.
Under Indian law, this Agreement complies with and is governed by the following provisions:
Indian Contract Act, 1872
Information Technology Act, 2000
Rules, Regulations, Guidelines, and Clarifications framed thereunder, including the (Indian) Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Information) Rules, 2011 (the “SPDI Rules”)
Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021
3.ELIGIBILITY
To register, use the Services, visit, or access the Websites and App of Vaccine Panda, you must be at least 18 years old. In jurisdictions where membership or use of the Websites or App is prohibited, the right to access these platforms is abrogated from the outset. All terms and conditions set forth herein are binding, and you hereby represent and warrant that you have the right, authority, and capacity to enter into these Agreements. Additionally, you represent and warrant to Vaccine Panda that you will use the Websites and App in a manner consistent with all applicable laws and regulations of India.
4.PERSONAL DATA AND SENSITIVE DATA
The terms ‘Personal Information’ and ‘Sensitive Data’ are defined under the SPDI Rules and are explained in our Privacy Policy on thevaccinepanda.com.
As part of delivering our Services, Vaccine Panda may collect information from the devices you use to access our Website or App, including location, medical records, history, and financial details, and may anonymize data related to your usage. This anonymized data is solely used to improve our service quality and develop new offerings.
The Vaccine Panda Website and App may collect and use Users’ personal contact details, such as email addresses or phone numbers, for communication purposes only.
Our Privacy Policy includes:
Personal Identifiable Information collected from Users, including Sensitive Data;
Purpose, means, and methods of handling Personal Identifiable Information;
Disclosure guidelines for such Information; and
Usage of Information in compliance with the SPDI Rules.
Vaccine Panda is not responsible for the authenticity or correctness of Personal Identifiable Information or Sensitive Data or any information provided by Users to Vaccine Panda or to any other party acting on behalf of Vaccine Panda.
Users are responsible for keeping their account information and password confidential if registered on the Website or App. It is solely the User’s responsibility to ensure only authorised access to their account and password. In case of suspected unauthorised account use, Users should notify Vaccine Panda promptly. Vaccine Panda will not be liable for losses due to unauthorised access but Users may be held accountable for damages caused to Vaccine Panda.
Vaccine Panda reserves the right to discontinue Services if any provided information is found to be inaccurate, outdated, or incomplete. If Vaccine Panda suspects that information is untrue or inadequate, Services may be halted for the User. Users accept sole responsibility for any inaccuracies or liabilities arising from Patient-created information entered on the Website or App, and shall fully indemnify Vaccine Panda.
Please ensure that your contact details, including mobile number and email, are correct and up-to-date on the Website or App. Notifications and reminders will be sent to the account linked to the provided contact details. Any loss or inconvenience from incorrect contact information is not the responsibility of Vaccine Panda.
If you use online chat, text messaging, video, or voice calls to interact with Vaccine Panda representatives or healthcare providers regarding vaccinations, our or third-party servers may record, store, and archive these communications. Such records will be handled per our Privacy Policy. Vaccine Panda holds no liability for interactions with healthcare professionals that occur outside our standard Services.
A personal health record facility may be provided to allow you to add, modify, delete, and manage health-related information on our Platform.
There are two types of information stored in your Health Account:
Patient-created: Information you generate and upload, such as prescriptions and medical history.
Vaccine Panda-created: Information generated during consultations through Vaccine Panda.
All information provided by Vaccine Panda is on an “as is” basis, with no warranties. The personal health record facility is provided as a best-efforts service, and Vaccine Panda is not responsible for any service interruptions.
Health-related reminders and notifications you may receive regarding appointments, vaccinations, and other health matters are provided as a supplementary means of notifying or reminding you of actions related to your health and well-being.
5.Disclaimer: Despite our best efforts, Vaccine Panda is not liable for any non-delivery, late delivery, or inaccurate delivery of reminders or notifications, nor for any potential negative impact on your health resulting from this.
If you grant another individual access to your personal health record, you are fully responsible for all actions, access, and transactions that individual may perform in connection with your health record—whether with or without your knowledge or consent. Vaccine Panda is not liable for any actions, transactions, data loss, records, history, or any other liabilities arising from this.

6.COLLECTION OF INFORMATION: Vaccine Panda collects and displays relevant information on its Website, directly or indirectly, about the profiles and practices of the Practitioners listed, including their specialisation, qualifications, fees, location, and similar details. Vaccine Panda makes reasonable efforts to ensure that such information is frequently updated. However, Vaccine Panda does not take responsibility and shall not be held liable for any inaccuracies or incompleteness, despite these efforts.
In addition to providing Services on an ‘as is’ and ‘as available’ basis, Vaccine Panda makes no warranties or conditions (express or implied, including implied warranties of merchantability, accuracy, suitability for a particular purpose, title, and non-infringement, whether resulting from law, other sources, or from a course of dealing or usage of trade). Vaccine Panda and its partners make no representation, warranty, or guarantee—express or implied—regarding the Website, App, or Services.
7.VACCINATION AND OTHER CONNECTED SERVICES: Vaccine Panda will make every effort to ensure a confirmed appointment for a User who requests an appointment through Vaccine Panda’s Platform. Vaccine Panda collaborates with Panda Partner Clinics (paediatricians) and employs qualified medical staff nurse, Doctors & Pediatricians to administer vaccinations and related services.
All interactions, communications, and associated issues between you and other Users, including but not limited to health matters and personal experiences, are solely between you and them. Vaccine Panda will not be held responsible or liable for any such interactions, communications, or related issues. To clarify, the Services provided are not intended to offer healthcare or medical diagnoses, and Vaccine Panda shall not be held liable for any medical outcomes resulting from interactions on our Platform.
Without prejudice, Vaccine Panda shall not be liable for:
any incorrect vaccination service provided by the healthcare practitioner or medical negligence;
any inconvenience experienced by the User due to a delay or failure on the part of the medical practitioner at the appointed time;
any cancellation or rescheduling of a booked appointment or any variation in fees charged; or
any medical eventualities that might arise subsequent to using the vaccination services provided by Vaccine Panda.
8.ONLINE PAYMENT ON WEBSITE AND APP: Vaccine Panda’s Platform provides you the ability to pay online through a third-party payment gateway for the Services available on our Platform.
To process your payment online, you may be directed to a third-party payment gateway, and you will be subject to that gateway’s terms, conditions, and privacy policies for the transaction.
In no event shall Vaccine Panda be liable for:
any transaction that fails to complete successfully;
any failure on the part of the bank, credit card provider, or third-party site or agency to fulfil its obligations; or
any loss or damage arising directly or indirectly from the decline or acceptance of authorization for any transaction.
9.Pricing and Payment Policy
Minimum Order Value and Additional Charges
Vaccine Panda accepts bookings with a minimum order value of ₹1,500 within designated Delhi pin codes and a maximum distance of 25 km from our headquarters in Delhi. For bookings below ₹1,500, an additional charge of ₹500 will be applicable. This policy ensures the feasibility of our services and maintains quality standards for all customers within our operational range.
Advance and Balance Payment Requirement: All payments, including the balance payment, must be completed before the vaccination begins. The service team will collect the balance payment from the customer at the Customer House, before the vaccine envelope is opened and the service is provided. Any refusal to complete the payment at this stage will be treated as a cancellation, and the ₹200 booking advance will be forfeited. The patient will need to make a fresh booking to reschedule the service.
Proof of Online Payment: For the balance of online payments at the Customer’s House, the customer must provide proof of payment, either in the form of a transaction ID or a screenshot or SMS, to the service team. Failure to provide this proof will be regarded as a cancellation, and the booking advance of ₹200 will be forfeited.
Routine Day Charges (Monday to Thursday):
Vaccination services booked for Monday to Thursday will include an additional ₹50 discount on the total bill.
A booking advance of ₹200 must be collected 3 days before the scheduled date of service.
Weekend Charges (Friday and Saturday):
Vaccinations scheduled for Friday and Saturday will not qualify for the ₹50 additional discount.
Full pre-payment must be made at the time of booking, with no advance payment option.
Sunday and Public Holiday Charges:
Vaccinations booked for Sundays or public holidays will not have any additional discount besides the standard offers and deals.
An additional ₹100 service charge will be applied to Sunday bookings.
Full pre-payment must be completed at least 3 days in advance.
Needle-Free Vaccination Charges:
Vaccine Panda offers needle-free Vaccinations, for which an additional charge of Rs 200 is applicable.
Full pre-payment must be completed at least 3 days in advance.
Custom Date and Time (Any day including weekends, Sundays, and public holidays):
If the customer chooses a specific custom date and time for their vaccination, an additional ₹200 will be charged.
Full pre-payment must be made 3 days in advance.
This option is valid for all weekdays and weekends, including Sundays and public holidays.
No additional weekday discount will be applicable with this option.
Payment Terms:
Payments must be completed online through the Vaccine Panda platform using all available online payment options (credit card, debit card, net banking, UPI, etc.) or Cash.
Payment must be completed at the time of booking or 3 days before service, depending on the service day.
A Refundable Booking Advance of Rs 200 is compulsory to accept any booking. The balance amount can be paid by the customer at Home.
Payments for services can be made via credit card, debit card, UPI, and other payment methods listed on the Website and App. All payments are securely processed through third-party providers.
I . Balance Cash Payments and Prepayment Policy
a.Cash on Delivery (COD) Charge: For balance cash payments exceeding ₹2,000 made at the customer's home, an additional ₹200 COD fee will be applied to the total amount.
B. Compulsory On Site Prepayment : All payments, including any balance amount, must be fully settled before the vaccine envelope is opened and the vaccination process begins.
J. Offers and Discounts:
a.'DEAL5' for a 5% discount on billing between ₹1,500 and ₹5,000.
b.'DEAL7' for a 7% discount on billing above ₹5,001.
c.₹100 off for first-time customers.
d.Referral discounts (as explained in upcoming section)
Only one offer/ Coupon Code can be used per order, and offers cannot be combined.
10.Referral Program
Vaccine Panda operates as an e-commerce aggregator platform and, as such, reserves the right to promote its services through standard e-commerce methods, including discounts, offers, and referral programs. Any promotional offers are provided solely by Vaccine Panda in line with established e-commerce practices. Partner clinics or doctors associated with Vaccine Panda do not independently provide such offers, in compliance with MCI/NMC guidelines.
10.1. Eligibility to Refer
Only existing Vaccine Panda customers who have completed a minimum billing cycle of ₹3,000 or more are eligible to participate as referrers.
Referrals must be made using the unique referral link shared by the referrer.
10.2. How the Referral Program Works
Referrer (Customer A): Shares their unique referral link with a friend or family member (the referee).
Referee (Customer B): Must book a vaccination service using the referral link provided by Customer A and spend a minimum of ₹3,000 to qualify for the referral discount.
Benefits for Referrer (Customer A):
Earns ₹100 cash for each successful referral after the referee’s booking.
Receives an additional ₹200 discount on the next booking with Vaccine Panda, valid for 90 days from the referral reward trigger date.
Benefits for Referee (Customer B): Receives ₹200 off on their first booking made through the referral link, provided the total bill is over ₹3,000.
10.3. Unlimited Referrals
There is no limit to the number of friends a referrer can refer. Each successful referral will qualify the referrer for the same benefits as outlined above.
The referee (Customer B) is eligible to become a referrer once they complete a qualifying transaction and meet the eligibility requirements.
10.4. Validity of Referral Rewards
All referral rewards, including the ₹200 discount coupon, are valid for a period of 90 days from the date they are triggered.
If not redeemed within the 90-day period, the discount coupon will expire.
10.5. Miscellaneous Terms
Vaccine Panda reserves the right to modify, suspend, or terminate the referral program or its terms at any time without prior notice.
Any misuse of the referral program or violation of these terms may lead to disqualification from the program and forfeiture of referral rewards.
10.6. Disclaimer
Vaccine Panda will not be responsible for any issues or delays in reward transfer due to incorrect bank details or NEFT transaction delays.
11.REFUND AND CANCELLATION POLICY: All online payments made through the App or Website for booking appointments are subject to our Cancellation and Refund Policy.
Vaccine Panda offers a 100% refund* (excluding any convenience fees/transaction charges, home visit charges(if any, and applied discounts) on all transactions made through the Vaccine Panda Website or App. Refunds will be processed within 10 business days of the transaction, (*provided the refund request is initiated on/ before the final call made by customer care on the day of the service appointment.)
If Vaccine Panda and the User are engaged in multiple dialogues regarding a refund, the resolution time frame may extend beyond the standard 10 business days.
This cancellation policy applies uniformly to all types of bookings, whether for routine days (Monday–Thursday), weekends (Friday–Saturday), Sundays, public holidays, or bookings involving needle-free injections.
On the day of vaccination, our customer care team will contact you to confirm the vaccination, check if the child is fit (no fever or illness), and ensure there are no last-minute requests for cancellation, rescheduling, or vaccine changes.
A. Pre-Dispatch Refund and Cancellation Policy
Free Cancellations:
Cancellations are allowed free of charge until the morning of the scheduled vaccination, provided customer care is informed before the team departs for the day’s appointments.
In cases where a booking is cancelled, Vaccine Panda cannot guarantee that the same vaccine will be available at the same price for future bookings due to fluctuating inventory and batch prices.
Refunds (excluding convenience fees/transaction charges) will be processed within 10 working days.
Billing and Account Review: A ticket will be generated for the Billing and Accounts Department, and all refunds will be held until proof of the original payment is verified
Combo Vaccine Policy:
For combo bookings, customers requesting a change during the confirmation call will have their booking rescheduled free of charge. Only one free rescheduling is allowed; subsequent requests will result in cancellation and forfeiture of the advance.
Refund Eligibility:
If a refund request is initiated before/ during the confirmation call made by the customer care on the day of the service appointment, a 100% refund will be issued (excluding convenience fees/transaction charges, home visit charges, and applied discounts).
Booking Advance/ Prepayment Requirements:
A fully refundable booking advance* of ₹200 is mandatory for every booking.
If no cancellation request is made, the advance is valid for up to 30 days from the payment date. Beyond this period, the advance will be refunded, and a new booking must be initiated.
Individual/ Package Vaccination Refund:
Refunds are limited to the cost of the vaccination/(s) within the package.
Home visit charges, applied discounts, and convenience/transaction fees charged by the Third Party Payment Gateways are non-refundable.
B. Post-Dispatch/On-Site Refund and Cancellation Policy (with penalty)
Cancellations After Team Dispatch:
If a cancellation is requested after the staff has been dispatched, the ₹200 booking advance will be forfeited.
The remaining amount (if any) will be refunded within 10 working days.
On-Site Refusal:
If the customer refuses service on-site after the team arrives, the ₹200 advance will be forfeited.
For combo vaccine bookings, refusal to take all vaccines in the combo will result in the cancellation of the entire booking and forfeiture of the advance.If the customer requests a change in the vaccine selection during the morning courtesy call from customer care, the booking will be rescheduled at no additional charge. Only one rescheduling is allowed per booking; further rescheduling will result in cancellation.
On-Site Cancellations (After Vaccine Box Opening):
If the vaccine box is opened and the customer refuses service, the full bill amount will be forfeited. No refund will be issued.
Delayed or Changed Appointments:
If delays are caused by the customer (e.g., child unavailable or lack of cooperation), the team will wait for up to 20 additional minutes at no charge. Afterward, a fee of ₹100 will apply.
Location changes at the last moment will incur:
₹100 for distances under 1 km.
₹200 for distances between 1-5 km.
In all above case scenarios if the customer does not agree to the additional charges and If the new location is not feasible, the call will be canceled, and the ₹200 advance will be forfeited.
5. Refusal to Pre-pay the balance amount in FULL (as mentioned in his Proforma Invoice) On site: As per SOP, full pre-payment of The balance amount must be made by the customer once the team arrives at the premises before the vaccine box is opened. Refusal will be treated as cancellation and Booking advance will be forfeited.
5. Policy on Non-Response at Scheduled Service Time
At Vaccine Panda, we strive to ensure a seamless experience for our customers during home vaccination services. To maintain operational efficiency and fairness to all customers, the following policy applies in cases where customers are unresponsive:
On-Site Arrival and Initial Contact
a.Mandatory Contact Details:
It is imperative for the customer to provide a working mobile number of the guardian or responsible person who will be present at the scheduled location during the service. This ensures smooth coordination with the vaccination team.
b.Team Contact Information:
The phone numbers of the vaccination team assigned to the service will be shared with the customer via SMS before the scheduled visit.
c.Upon arrival at the location (verified by GPS), the service team will attempt to contact the customer via:
1.A direct phone call to the registered mobile number.
2.A WhatsApp message to the registered WhatsApp number.
d.Escalation to Customer Care
If the customer or guardian does not respond to the service team's attempts, the situation will be escalated to our customer care team.
Customer care will:
1.Call the customer on their registered mobile number.
2.Send an email to the registered email address.
3.Send a follow-up WhatsApp message informing the customer of the situation.
e. Cancellation and Forfeiture
If there is no response or revert from the customer or guardian within a reasonable timeframe after all contact attempts, the following actions will be taken:
1.The booking will be treated as cancelled.
2.Any booking advance paid will be forfeited to compensate for the service team's time and travel expenses.
f. Rescheduling
Customers may contact customer care to reschedule the appointment (subject to availability). A fresh booking advance may be required for the rescheduled service.
6.Emergency Cancellations & Exceptions:
a.For emergency cancellations prior notice, contact customer care immediately at 9999109040 or 9999771577,exceptions may be considered at Vaccine Panda's discretion. Cancellation requests made after the team is dispatched will result in forfeiture of the ₹200 advance.
b.By proceeding with a booking, the customer agrees to these terms. This policy ensures timely and efficient service delivery for all customers.
C. Refund Policy
Standard Refund Timelines:
Refunds are typically processed within 10 business days unless delays occur due to extended dialogues between Vaccine Panda and the customer.
Duplicate Payments:
If duplicate payments are identified, the extra amount will be refunded within 10 working days upon verification.
Damaged/ Tampered/ Expired Vaccines:
If a damaged/ tampered/ expired vaccine is provided by vaccine panda, a full refund (including transaction charges) will be issued.
Barcode/Serial Number Mismatches-Billing Errors or Disputes:
If the barcode or serial number on the vaccine does not match the GST invoice but the vaccine matches the one which had been booked and is of valid expiry,Cancellations/ Rescheduling on this ground will not be allowed and booking will stand cancelled and Booking Advance forfeited.Vaccine Panda will issue a corrected invoice reflecting the accurate batch details after the service is completed.
12.Proof of Payment
Requirement for Proof: If a customer is unable to provide a screenshot or transaction ID/ SMS from the Bank as the proof of online payment, a new payment will be required to proceed with the vaccination.
Duplicate Payment Refund: In cases where duplicate payments occur, the extra payment will be refunded within 10 working days.
Refusal to Make Fresh Payment: If the customer declines to make a fresh payment, the service call will be cancelled, and the ₹200 booking amount will be forfeited.
Billing and Account Review: A ticket will be generated for the Billing and Accounts Department, and all refunds will be held until proof of the original payment is verified
13. Appointment Scheduling,Rescheduling Terms and Conditions
Scheduling: Appointments can be scheduled through the Vaccine Panda Website or App. A confirmation will be sent via email or SMS.
Valid/ Free Rescheduling Requests:
If you wish to reschedule your vaccination, please inform our customer care team as early as possible via phone.
Free Rescheduling requests can be made up until the day of the appointment, during the confirmation call made by our team to verify the vaccination and check for any changes.
If the customer requests a change in the vaccine selection during the morning courtesy call from customer care, the booking will be rescheduled at no additional charge. Only one rescheduling is allowed per booking; further rescheduling will result in cancellation.
In cases where the customer is not reachable during the morning courtesy call, the booking will be rescheduled automatically.
Invalid / Post-Confirmation Rescheduling:
If a rescheduling request is made after the confirmation call (on the same day of the scheduled appointment), the current booking will stand cancelled & ₹200 advance will not be refunded. A fresh booking will need to be made for vaccination.
14.Roles and Responsibilities of Vaccine Panda(Services)
Vaccine Panda operates as an aggregator platform, coordinating between patients/customers, paediatricians, registered pharmacists (vaccine distributors), GNM staff nurses,Doctors and paramedics (on the payroll of Vaccine Panda) to provide free home vaccination services. Below are the responsibilities of Vaccine Panda:
Coordination of Services:
Vaccine Panda will act as a bridge between paediatricians, customers, vaccine distributors, and nursing staff to ensure smooth and timely delivery of vaccinations. Vaccine Panda provides Free*(Bill value >1500 after Discounts, Service area Delhi/NCR) home vaccination services for children (0-18 years), adults, pregnant women, and senior citizens. Our services include all kinds of routine and special vaccinations like flu, cervical cancer vaccines, shingles vaccines, and more.
Cold Chain and Logistics:
Vaccine Panda will ensure that the vaccines are stored and transported in compliance with cold chain requirements, preserving the integrity and efficacy of the vaccines throughout the process.
Uniforms, Transport, and Consumables:
Vaccine Panda will provide uniforms, conveyance, and consumables (such as syringes, gloves, etc.) to the staff involved in delivering vaccinations.

Vaccine Panda offers needle-free injection options using specialised instruments.
Paediatrician Collaboration:
Vaccine Panda will have tie-ups with paediatricians under a unique registered partner clinic model, ensuring paediatricians' participation in guiding to prove correct vaccinations to patients by vaccine panda’s medical team, while allowing vaccine panda to use their clinic premises for administrative, logistical tasks and medical check ups- Pre vaccination and post vaccinations check ups and emergencies.
Liability:
Vaccine Panda will not be held liable for the selection of vaccines, their administration, or any adverse effects arising from the vaccines.
All liability related to the vaccines remains with the paediatrician, who is responsible for guiding the customer on vaccine choices.
Customer-Supplied VaccinesVaccine Panda does not use vaccines provided by the customer for home vaccination services. All vaccines administered as part of the home vaccination service must be procured directly through Vaccine Panda to ensure the integrity, safety, and proper handling of the product, as per our standard operating procedures.

Parental/Guardian Responsibility and Service Guidelines for Vaccination
Parental/Guardian Assistance:
Assistance may be required during vaccination if the child is uncooperative or exhibits extreme violent behaviour towards the staff.
Parents/guardians are expected to help calm and restrain the child to ensure the procedure's safety and success.
Diaper Requirement:
Babies who have not yet developed bowel or bladder control must wear diapers during the vaccination procedure to maintain hygiene.
Comfortable Setup:
Parents must provide a comfortable and stable surface, such as a flat bed or a well lit room, for the vaccination process to ensure safety and proper administration.
Standard Operating Procedure (SOP):
The medical team will adhere to a defined SOP for every visit.
Parents/guardians are required to cooperate fully with the SOP to facilitate the procedure.
Sleeping Baby Policy:
A sleeping baby is not a contraindication for vaccination, and the procedure will not be delayed or denied due to the baby being asleep.
If the vaccination is refused due to this reason, the call will be considered cancelled, and charges may apply.
Biomedical Waste Management:
Used vaccine components, including glass vials and sharps, will not be handed over to the customer in compliance with Government Biomedical Waste Management Guidelines. Proper disposal will be ensured by the medical team.
15.Roles and Responsibilities of the Pediatricians
Paediatricians associated with Vaccine Panda, as registered panda partner clinics, will:
Procurement of Vaccines:
Use their state medical licence to legally procure vaccines.
Ensure that vaccines are sourced from verified distributors and stored as per the required cold chain standards till the time they are at their premises.
Pre-sale Vaccination Consultation:
Provide pre-vaccination consultations to patients/customers, explaining the vaccine's benefits, side effects, and addressing all concerns.
Paediatricians will assist in guiding the customer toward the most appropriate vaccine, brand, and pricing options based on individual needs. This consultation ensures that each patient receives the best-suited vaccination tailored to their requirements.
Post-sale Services:
Offer post-vaccination checkups and medical advice and medical emergencies related to any adverse event associated with vaccination at no additional cost (both online and offline)
Handling Bio-Medical Waste:
Be responsible for maintaining bio-medical waste (BMW) in compliance with government protocols.
Vaccines administered at home will have the medical waste collected and finally disposed of at the paediatrician’s clinic following BMW norms, using the paediatrician’s BMW licence.
Premises for Administrative Work:
Provide their clinic as a base for packing, paperwork,logistics support and administration work related to vaccinations.
The paediatrician will handle all medical queries and superwise the vaccine packing, cross checking of the vaccine batches, brands, expiries.
16. Post-Vaccination Support: Our team provides post-vaccination care and can be reached via customer care numbers [9999109040 / 9999771577] or through the emergency button on the App.
17.Pre-Vaccination Photo Consent
Prior to the vaccination, the Vaccine Panda staff will take a photograph with the child for documentation purposes. By accepting home vaccination services, the customer consents to this pre-vaccination photo, which may also be used for promotional content on social media and other platforms. This consent helps ensure accurate record-keeping and supports Vaccine Panda's promotional efforts.
18.Needle-Free Vaccinations (Injections) – Integri Device After-Effects, Spillage Policy, and Pricing
Needle-free vaccinations administered using the Integri device may result in certain common after-effects. These may include:
Mild pain or discomfort at the injection site
Slight swelling
Occasional bleeding
Reactions caused by the vaccine itself, depending on the type of vaccine given
B.Spillage Policy:
In rare cases, spillage of the vaccine may occur. Should this happen, Vaccine Panda will fully bear the cost and offer either a full refund or the option to rebook the vaccination at a later date. Please note that slight oozing of the vaccine from the injection site is normal and does not constitute spillage.In the event of spillage after administering rotavirus or polio opv vaccine drops, the following terms apply:
No Re-dosing: If a child spills or regurgitates the rotavirus vaccine drops, an additional dose will not be administered.
Efficacy Assurance: As per the manufacturer’s medical guidelines, the vaccine retains its efficacy despite spillage.
Non-Refundable: The vaccine cost remains non-refundable after administration.
Non-Refundable in Certain Cases: If spillage occurs due to the child’s violent body movements or lack of restraint in an uncooperative child, and there is no procedural fault from the medical team, the vaccine cost will not be refunded.
Parental Instructions: To minimise the chances of spillage, parents are requested to:
Ensure the baby is well-fed and burped before the drops are administered.
Keep the baby calm during the procedure.
C.Video documentation:
For needle-free vaccinations, the procedure will include video documentation to ensure eligibility for a refund in the event of full spillage of the vaccine. This video serves as proof of spillage for both the customer and Vaccine Panda. By opting for this service, the customer consents to Vaccine Panda recording the entire procedure and using the footage for commercial promotions, including promotional content on social media.
19.Procurement and Prescription Record-Keeping Policy
Vaccines procured from the pharmacist by Vaccine Panda will be done in bulk to maintain inventory for scheduled bookings. For each booking or service, a digital copy of the patient's prescription will be retained by Vaccine Panda, the paediatrician, and the pharmacist, in compliance with legal requirements. A proforma invoice will be generated initially and converted into a sale invoice after the full billing cycle of the particular service is completed, within 24 hours. The final sale invoice will be shared digitally with the patient. In cases of full prepayment, the sale invoice will be issued along with the vaccination.
A physical copy of the proforma invoice or sale invoice will also be provided to the patient at the time of vaccination to avoid any errors by the serving team. Every billing will include a unique sale invoice/ Proforma Invoice/ Quotation number and the patient’s registration number from the Panda Partner Clinic’s EMR system for tracking and assessment purposes. This process will remain paperless to support environmental sustainability.
20.Procurement, Storage, and Cold Chain Management
Vaccines procured by Vaccine Panda in bulk will be stored in temperature-controlled refrigerators (ILR) with battery backup at the Panda Partner Clinic, ensuring the integrity of the cold chain. This process ensures that vaccines are stored under optimal conditions to maintain their efficacy. The cold chain will be strictly monitored and managed by the Panda Partner, following all regulatory standards. Each vaccine will be tracked from procurement to administration, and appropriate digital records will be maintained for compliance.
21. Billing and Compliance
Vaccine Panda ensures that all billing processes comply with the necessary legal and governmental regulations.
Sales Invoice and Party Details:
A sales invoice, including all relevant details, will be provided after the billing cycle is completed.
This invoice will adhere to GST and other applicable legal compliance requirements.
Payment Handling:
Vaccine Panda will manage all payment collections and disbursements between all parties registered and transacting on its aggregator platform.
This ensures smooth financial operations and compliance with legal and regulatory standards.
Regulatory Adherence:
Vaccine Panda ensures that all transactions are conducted in accordance with government regulations, including those related to drug procurement and service delivery.
22.CONTENT OWNERSHIP AND COPYRIGHT: Content on the Website/App is either user-generated or created and managed by Vaccine Panda. Information collected by Vaccine Panda, directly or indirectly, from Users is the property of Vaccine Panda. Copying or reproducing content published by Vaccine Panda on this Website/App for commercial purposes or profit constitutes a copyright violation, and Vaccine Panda reserves the right to take action under applicable Indian laws.
In the event of any non-compliance with applicable laws, rules, regulations, or these Terms (including the Privacy Policy) by a User, Vaccine Panda reserves the right to immediately terminate the User’s access or usage rights to the Website, App, and Services, and to remove any non-compliant information from the Website/App.
23.INTELLECTUAL PROPERTY RIGHTS: The contents of the Website and App are protected by India’s intellectual property laws, including trademark and copyright laws. Any reproduction, retransmission, or public or commercial use of any material on the Website or App is strictly prohibited. The logos, service marks, and trademarks (“IP Marks”) displayed on the Website and App are the property of Vaccine Panda. Users may use this material only with express authorization from Vaccine Panda and may not copy, transmit, or create derivative works of such material without prior authorization.
24.INDEMNITY: Users agree to indemnify and hold harmless Vaccine Panda, its affiliates, officers, directors, employees, consultants, licensors, agents, and representatives from any third-party claims, demands, losses, liabilities, damages, and/or costs (including reasonable attorney fees and costs) arising from (i) the User’s access to the Website, (ii) use of the Services, (iii) violation of this Agreement, or (iv) infringement by the User, or any third party using the User’s account or credentials, of any intellectual property or other rights of any person or entity.
Vaccine Panda will promptly notify you of any such claim, loss, liability, or demand, and in addition to the above obligations, you agree to provide reasonable assistance, at your own expense, in defending any such claim, loss, liability, or cost.
25.TERMINATION: Vaccine Panda reserves the right to terminate this Agreement immediately, without prior notice and without providing reasons. Additionally, Vaccine Panda may suspend or terminate a User's access to its Website/App and related Services with or without prior notice and may seek any legal remedy where:
The User breaches any terms and conditions of this Agreement;
Vaccine Panda is unable to verify or authenticate information provided by the User;
Vaccine Panda has reasonable grounds to suspect any illegal or fraudulent activity by the User.
If a User is temporarily suspended, indefinitely suspended, or terminated, they are prohibited from continuing to use the Website under the same account, a different account, or by re-registering under a new account. Upon account termination for the above reasons, the User will no longer have access to data, messages, files, or other materials stored on the Website/App by the User.
26.DISCLAIMER OF WARRANTIES: All information available on the Website or App (the “Information”) is provided on the understanding that the User will make an independent assessment regarding its accuracy, completeness, suitability, or usefulness prior to use or making any decisions. Vaccine Panda shall not be responsible or liable for any data provided, stored, or managed by the User, including Personally Identifiable Information.
All information on the Website is provided on an ‘as is’ basis, and Vaccine Panda, along with its licensors and affiliates, makes no representations or warranties, express, statutory, or implied, regarding the operation of the Website, provision of Services, or the information, content, materials, or products offered. To the fullest extent permitted by law, Vaccine Panda, its licensors, and affiliates disclaim all warranties, including but not limited to implied warranties of merchantability, fitness for a particular purpose, title, non-infringement, security, or accuracy. Vaccine Panda has made efforts to ensure that all information provided on the Website is accurate; however, Vaccine Panda does not warrant or make any representations regarding the quality, accuracy, or completeness of any data or information presented. Vaccine Panda makes no warranties, express or implied, concerning its Platform and/or its content, and expressly disclaims all warranties of fitness for a particular purpose and merchantability with respect to the Services. 28.APPLICABLE LAW AND CONFLICT RESOLUTION: The User confirms that this Agreement and any contractual obligations between Vaccine Panda and the User will be governed by the laws of India. The courts in New Delhi shall have exclusive jurisdiction over any disputes arising out of or related to this Agreement or the use of the Platform and its associated Services, including any related information.
29.GRIEVANCE DEPARTMENT: Vaccine Panda will make every effort to address grievances or complaints of the Users to the fullest extent possible. 30.SEVERABILITY: If any provision of this Agreement is deemed unenforceable by a court of competent jurisdiction under applicable law, that provision shall be excluded from this Agreement. The remainder of the Agreement shall be interpreted as if the excluded provision were never included and shall remain enforceable according to its terms. In such an event, the Agreement will be interpreted to give effect, to the greatest extent consistent with and permitted by applicable law, to the meaning and intention of the excluded provision as determined by the relevant court or arbitral tribunal.
31. Governing Law and Dispute Resolution
31.1. Governing Law: This agreement shall be governed by the laws of New Delhi.
31.2. Dispute Resolution: Any disputes will be resolved first through negotiations, and if unresolved, through arbitration.
31.3. Changes to Terms: Vaccine Panda reserves the right to modify these Terms at any time. Changes will be communicated via the Website or App, and continued use of the platform will constitute acceptance of the revised Terms.
32.Terms and Conditions for Vaccination Services in Households with Pets
Pet Restraint Requirement: To ensure a safe and smooth vaccination process, all house pets must be properly restrained during the medical team’s visit.
Avoidance of Procedural Faults: Restraining pets helps prevent procedural faults caused by pet anxiety or discomfort in an unfamiliar environment.
Liability for Harm: The medical team will not be held responsible for procedural issues arising from unrestrained or overly anxious pets.
Team Safety: In cases where a pet poses a risk of bodily harm to the medical team, the vaccination service may be declined or delayed.
Customer Responsibility: It is the customer's responsibility to ensure the safety and restraint of their pets during the service.
